Office Manager / Executive Assistant

Fin is seeking an Office Manager / Executive Assistant to support the firm’s efforts as it scales into its next phase of growth. This role is ideal for a professional who excels at balancing strategic administrative support with the daily demands of office management. You will be managing calendars, meetings, communications, and travel for leadership. Simultaneously, you will oversee the office environment, maintain operational processes and support team cohesion and culture. This is a pivotal position that requires discretion, initiative, and a high level of professionalism. This is a salary role is based in our New York office (in SoHo) and requires an in-person presence 5 days a week in addition to occasionally (infrequently) requiring flexibility outside standard business hours for events or executive support. 

Location: New York 

Responsibilities:  

  • Manage office services including facilities, supplies, kitchen upkeep, and vendor coordination. Track and reorder supplies, ensuring minimal disruptions in operations 

  • Maintain a clean, stocked, and professional office environment at all times. Including monitoring and maintaining office equipment (printers, copiers, etc.) 

  • Coordinate office maintenance and liaise with building management as needed 

  • Support initiatives for office events, employee engagement, and team-building activities 

  • Manage ordering and set-up for meals, catering, and special meetings 

  • Provide administrative support to leadership including calendar management across multiple time zones, arranging rooms, video conferences, and audio facilities 

  • Coordinate domestic and international travel, prepare itineraries, and manage related expenses 

  • Provide key support - anticipate needs, follow-through on all details and handle all confidential situations with discretion and professionalism 

  • Support recruiting activities (e.g., scheduling interviews, coordinating candidate logistics) 

  • Assist with documentation, presentations, and correspondence as needed 

  • Help manage special projects, including office moves or renovations 

  • Provide backup support for executive assistants and administrative teammates as required 

Qualifications/Ideal Characteristics:  

  • 2+ years of experience in office management or administrative support, preferably in a corporate environment. Financial services industry experience highly desirable 

  • Bachelor’s Degree preferred 

  • Requires knowledge of Microsoft Office Programs (Word, Outlook, PowerPoint, Excel) 

  • Strong organizational, time-management, and multitasking abilities with an ability to meet deadlines 

  • Flexibility with hours 

  • Excellent verbal and written communication skills 

  • High level of integrity, discretion, and judgment when handling confidential information 

  • Friendly, adaptable, and solution-oriented with a “no task too small” mindset
